The workflow audit

One session, one week, one document. The audit is the starting point for every LetMoe engagement, and it is designed so that the commercial risk sits with LetMoe rather than with you.

What it costs

£399, fixed, payable in advance. No VAT is charged. If the roadmap does not identify at least five hours a week of savings, the fee is refunded in full within fourteen days.

What it needs from you

Forty five minutes with the owner and whoever actually does the admin, plus ten to twenty example emails with names removed. No logins, no data exports, nothing to install.

See exactly what you would receive

Most audits are a conversation and an invoice. This one produces a thirteen page written roadmap: your five biggest time drains, the arithmetic behind each, the automated workflow step by step, what stays with your team, the data each workflow touches, a build timeline, and fixed prices. Read the sample before you spend a pound.

The sample is written for a fictional agency so the format can be shown in full. It is marked as a sample on every page.

What happens

  1. Booking

Once the fee is received, the session is booked within ten working days, at your office or by video call.

  2. The session

Forty five minutes walking through how enquiries, viewings, arrears, maintenance and renewals actually happen: who does each task, in which tool, how often, and how long it takes. The most useful attendee is the person who does the work, not only the person who owns the business.

  3. Samples

You send ten to twenty example emails with personal details removed: enquiries and replies, an arrears chase, a viewing confirmation, a landlord update, any templates in use. The roadmap is written in your words, not generic ones.

  4. The roadmap

Within seven days of the session you receive the written roadmap. Its contents are set out below.

  5. Handover

A twenty minute call to walk through the document and answer questions. There is no obligation to proceed to a build.

What the roadmap contains

  • Your five biggest time drains, ranked, with the estimated hours per week each currently costs, based on the volumes you provide.
  • For each: how the task works today, how it would work automated, which of your existing tools are involved, and exactly which decisions stay with your team.
  • The estimated hours saved per week, with the reasoning shown, so you can check the arithmetic yourself.
  • A recommended build order, and a fixed price in writing for each stage should you wish to proceed.
  • Data handling notes for each workflow: what data it touches, where it sits, and how access is limited.

The roadmap is yours to keep whatever you decide. You may build it with LetMoe, with another supplier, or in house.

Questions about the audit

Do we need to prepare anything?

No. Come to the session as you are. The only preparation that helps is having the person who does the admin in the room, and knowing roughly how many enquiries, viewings and tenancies you handle in a typical week.

You genuinely need no access to our systems?

None. The audit is conducted by conversation and by looking at example emails you choose to share. Any later build is scoped and agreed separately, with its own written data handling terms.

What if we do not want to proceed after the audit?

Then you have a written plan for £399 and no further obligation. The roadmap is written to be usable by any competent implementer, not only LetMoe.

How is the five hours a week guarantee measured?

From your own stated volumes. If you tell me you handle sixty enquiries a week and each takes six minutes to answer by hand, that is six hours; the roadmap shows the arithmetic for every time drain. If the total identified saving is under five hours a week, the fee is refunded.

We are busy this month. Can the audit wait?

Yes. Pay when you are ready and the session is booked within ten working days of payment. Many agencies prefer to run the audit in a quieter month and have the build ready before the next peak.
