Who is responsible for your data
The data controller is Mohamed Elashaheb, trading as LetMoe, Manchester, United Kingdom. Contact: moe@letmoe.co.uk or 07460 676 390.
What data is held, and where it comes from
Business contact details for people at letting and estate agencies: name, role, business email address, business phone number, and notes of any conversation. This comes from publicly available sources such as company websites, business listings and professional networks, and from correspondence with you. For clients, it also includes engagement records, invoices, and any example material you choose to share for an audit, which you are asked to anonymise before sending. No special category data is sought or held.
Why it is held, and on what legal basis
- Legitimate interests: contacting businesses about services relevant to their role, and running the business. You can object at any time and the contact will stop.
- Contract: delivering services you have engaged LetMoe to provide.
- Legal obligation: keeping accounting and tax records.
Marketing contact
LetMoe may contact business email addresses and business telephone numbers about its services. Numbers registered on the Telephone Preference Service or Corporate Telephone Preference Service are not called. To stop any contact, reply to any message with the word "stop", or email moe@letmoe.co.uk, and the request is honoured immediately and permanently.
How long it is kept
- Prospective client contact details: twelve months from the last contact, then deleted.
- Audit sample material: deleted thirty days after the roadmap is delivered, unless a build follows.
- Client engagement records and invoices: six years, as required for tax purposes.
Who it is shared with
Data is never sold. It is processed by a small number of service providers used to run the business: email hosting, calendar and booking, website hosting, and, for clients, the automation and AI platforms specified in the engagement. Each provider is bound by its own data processing terms, and providers are chosen with UK or EU data handling where available. For client builds, data stays inside the client's own systems and accounts wherever possible.
Security
Accounts are protected with two factor authentication. Access to client systems is limited to the minimum needed for the agreed work and is removed at the end of an engagement unless a Care Plan is in place.
This website
This website sets no cookies, uses no analytics, and loads no resources from third parties. The hosting provider records standard server logs, including IP addresses, for security purposes.
Your rights
You have the right to ask what data is held about you, to have it corrected or deleted, to object to its use, and to complain to the Information Commissioner's Office. Requests are answered within one month.
Terms of engagement
Workflow audit
- Fee: £399, payable in advance. No VAT is charged.
- The audit session is booked within ten working days of payment, and the written roadmap is delivered within seven days of the session.
- Guarantee: if the roadmap does not identify at least five hours per week of time savings, calculated from the volumes provided by the client, the fee is refunded in full within fourteen days of the client's request. The roadmap remains the client's to keep.
- No access to the client's systems is required or requested for the audit.
Builds
- Scope and price are fixed in writing before work begins. Fifty percent is payable on commencement and fifty percent on handover.
- Work is carried out inside the client's own accounts. Software subscriptions remain in the client's name and are paid by the client.
- Documentation and training are provided on handover, followed by two weeks of post-handover support.
- Material changes to scope are priced in writing before work continues.
Care Plan
- Billed monthly in advance. Either party may cancel with thirty days' written notice.
- Includes monitoring, fixes, prompt tuning, and one new automation per quarter within the agreed scope. Reported faults are responded to within one working day.
General
- Both parties keep each other's confidential information confidential.
- Configurations and documents built for a client belong to the client. LetMoe retains its general methods, templates and know how.
- Services are provided with reasonable skill and care. LetMoe's liability for any engagement is limited to the fees paid for that engagement, except where liability cannot be limited by law.
- Nothing in these terms promises a specific business result. The audit guarantee above is the only guarantee given.
- These terms are governed by the law of England and Wales.
