What LetMoe sets up

Five workflows that remove the typing from a letting agency's week without removing the judgement. Each one is built inside your own accounts, connected to the email, calendar and property software you already use, and produces drafts for your team to approve.

Enquiry triage

What it does. Every enquiry from the portals or your inbox is read the moment it arrives. A reply is drafted in your agency's voice: it answers the applicant's questions from your own listing details, offers viewing slots taken from your live calendar, and flags duplicates and time wasters. Out-of-hours enquiries are acknowledged immediately and the full reply waits for approval in the morning.

What stays human. A member of your team reads each draft and taps approve, edits it, or discards it. Nothing is sent automatically.

Why it matters. Applicants book with whoever replies first. A drafted reply waiting at 8am beats a blank inbox at 8am.

Viewing confirmations and reminders

What it does. Once a viewing is agreed, the booking is written into the diary, a confirmation goes to the applicant with the address and any access notes, a reminder is sent the day before, and a short follow-up asks for feedback after the viewing. Cancellations trigger a drafted note to re-offer the slot.

What stays human. Your team confirms the slot and approves each message. Reminders can be set to send automatically once you are comfortable with them; that is your choice, not the default.

Arrears chasing

What it does. When rent is late, a sequence begins: a courteous first note, a firmer second, and a formal third, on the days you set. Before every message the system checks the tenancy is still current and the balance is still outstanding, so the wrong person is never chased. The sequence stops the moment payment is received, and your property manager is told where every case stands.

What stays human. Every message is approved before it sends, and anything beyond the standard sequence, such as a payment plan or a formal notice, is handled by your team.

Compliance tracking

What it does. Gas safety, electrical (EICR) and energy performance (EPC) dates are tracked for every property. Six weeks ahead of expiry, a landlord notice and an engineer booking request are drafted. Your team receives a monthly list of what is due, and nothing expires quietly in a spreadsheet.

What stays human. Your team approves each notice and confirms bookings. The system never contacts an engineer or landlord on its own.

Listing copy

What it does. Property details go in; a portal-ready description, key points and a short social post come out, written in your agency's established style so listings read consistently whoever wrote them.

What stays human. Your negotiator checks and edits before publishing.

Governance built in. Every workflow produces drafts, not sent messages. Every account is in your name. Every system is documented so that any competent person could take it over. Data handling is agreed in writing before any build begins.

Not sure which workflow to start with?

That is what the audit is for. Fifteen minutes on the phone will tell you whether there is enough here to be worth it.

Enquiries answered within one working day. No access to your systems is needed for the first step.
